Fast – growing trend: renting vs. buying equipment

$
0
0

Purchasing equipment as a company often involves large down payments. On top of that, every purchase comes with extra costs, such as insurances, taxes, licenses, maintenance etc. This means that you need some solid capital.

Especially for start-ups and small to midsize companies, the purchase process can be both costly and time-consuming. All financial, legal, and logistical details must be covered submitting a final bid. Companies are increasingly turning to equipment rental as a simpler, less expensive alternative.

Image 1: Save a lot of bureaucratic "red tape".

When renting, you pay only for the tools you need, and when and how long you need it. Rental contracts are simple, making it very easy for every kind of company to move efficiently through the rental process. You do not need big investments and you havedelivery at the right time and location. Furthermore, because everything is pre-arranged, you and your company save a lot of bureaucratic "red tape".

If business slows down, you can simply return your rented equipment

When you own your tools and machinery you need to take care of everything. You arrange the transportation and periodic maintenance. It's your responsibility to make sure pre- and post-delivery inspections are complete. Plus, your business model must incorporate best practices for all these activities.

If you rent your equipment you do not have to worry at all about this. The rental company makes sure your equipment is ready to use and will transport it whenever you need it. Finally, you have the latest tools and machinery available, because rental companies upgrade their inventory frequently. This fast-growing trend is important for every company that is using equipment and also for equipment dealers. Rental offers your business a major opportunity to ensure you offer the latest models to your customers.

What fuels profitable field service?

$

Equipment-driven rental/leasing companies are driven themselves by field service requirements. Therefore ERP mobility has become essential to working with remote employees. There are many areas to explore in mobile apps for field service. As a result,we focus on the importance of choosing an app. For example you will need workflows that guide employees precisely through service processes. How important is it to choose an app that lets you configure those workflows for everything?

ERP Mobility: While mobile apps integrate with ERP abound, they can function as an extension of ERP. Forcing users to work through ERP forms on their mobile device. A smarter approach is an app that lets you configure how and when users view information from ERP. An app that lets you select which information they see. In addition it will ensure they complete all steps that may differ widely by role and scenario.

How does configurable workflow "work"

Let's take the roles of service engineer and truck driver as examples. They'll follow different process steps for any service task. Due to the industry and business specifics you need to factor in variables and dependencies.

With an ISV solution that can connect a flexible mobile platform to ERP, you can give mobile staff what they need and your back office what it needs.

Using a workflow configurator in the mobility platform, you can leverage building blocks and standard templates to tailor existing workflows and create new ones. You'll give users screens, prompts, and relevant information that fit device and role, and guides them through process steps.

Let's dive in

So to start, you can tailor basic workflows for your service engineers and truck drivers, with required steps that may include:

Service task: [Planning Overview > Start Task Equipment Information> Item Registration > Hour Registration > Task Overview > Signature > Close Task]

Transport task: [Planning Overview > Start Task > Graphical Map > Hour Registration > Close Task]

  • At all times, the mobile app and device is connected to back-office planning in ERP.
  • Planners can initiate workflows and all task and customer information auto-populate the mobile devices and user views for engineer and driver.
  • If issues or changes require users to go down a different path, the workflow takes care of that, for each scenario.
  • Planners can make updates in ERP and that information is reflected in the workflow. No confusion about tasks, and lots of automation that minimizes manual input, errors, and delays.

As a result, field staff can work predictably and efficiently, even for complex tasks. Workflow can even fit with technologies such as augmented reality so that a field tech can receive remote but "hands on help from another tech without disrupting task execution.

Top Skills to Look for in a Microsoft Dynamics Partner

$
0
0

Choosing the right Microsoft Dynamics partner for your business can often be a challenge, especially with some many potential partners currently available. Implementation of a Dynamics software is a major business move, so getting the right advice on what deployment option to choose and ensuring the solution is implemented with the utmost precision and accuracy is critical. If you’re looking to achieve the right Dynamics outcomes, it’s a good idea to consider the following top skills each Microsoft Dynamics partner has while you weigh your options:

1. Technical Skills - Be Sure to Evaluate Their Dynamics Expertise

Technical knowledge (and expertise) of the Microsoft Dynamics solution is of paramount importance to the success of its implementation. Since every Dynamics solution spans across a plethora of functional areas (often requiring deep integration with multiple systems), it is imperative the chosen partner understands the solution and its integration capabilities (and challenges) with other platforms. Look for a partner with proven technical expertise (preferably those with certifications, awards, and other recognitions) and make sure to ask for a demonstration of the same – after all, the stakes with any Dynamics implementation are fairly high, so it makes sense to ask the partner to justify their credibility with a proven track record of successful implementations.

2. Deployment Skills – Assess Their Ability to Keep Up With Demand

No matter which industry you belong to, accurately forecasting demand is often challenging. If you’re like other organizations around the world, you too aspire to run your Microsoft Dynamics solution on Azure, it’s important to assess the Dynamics partner’s cloud implementation capabilities and their ability to keep up with demand. Evaluate their scalability options and check if their competency fits your current and future needs. Find out if they specialize in providing cloud services, and make sure to get in touch with past clients for testimonials. Make it a point to check for partner flexibility - ascertain their ability to work collaboratively and offer a business-specific solution (rather than a one-size-fits-all approach). And don’t forget to determine the compatibility of their systems with your business and software needs.

3. Industry Knowledge - Check for Relevance (and Know-How) in Your Area of Business

A Microsoft Dynamics Partner successfully implementing a solution in another industry says nothing about their ability to succeed in yours. Every industry is unique, with several distinct processes (and operating cultures) that define it. When you’re investing your heart and soul into the implementation (and putting in significant time, resources, and cost), you don’t want to be forced to tweak (or completely remodel) your processes and best practices to suit the partner’s methodology. It’s always good to select a Microsoft Dynamics partner with specific experience of your market, industry, and type of customers. A partner who has successfully implemented Dynamics solutions for businesses like yours is undoubtedly a better bet. Speak to customers, understand the implementation methodologies, and check for success factors yourself.

4. People Skills – Does the Partner Speak the Language of Your Users?

The “think global, act local” mantra always holds true. Dynamics implementations are generally more successful if the partner understands your global organization, and the people that make up the organization at various locations. If you’re a global organization, chances are you have a sizeable number of offices spread across the world, with a large number of remote employees as well. In such a situation, its best if the partner has the capability to locally manage rollouts for various locations – either by conducting the implementation locally or by engaging a local partner as part of the implementation (and support) team – a team that speaks the local language and also understands the culture and outlook of those stationed. Such an approach enables you to gain the trust of your distributed staff, and increases the likelihood of a successful Dynamics implementation.

5. Support Capabilities – Don’t ignore Their Training Abilities

While the partner you shortlist might possess excellent implementation capabilities, make it a point to do a little research on their support and training abilities as well. You don’t want your large scale implementation to go down the drain because of a lack of training or support expertise. Ensure you go with a partner who excels in supporting your business even after the implementation, and helps you build a comfortable and long lasting relationship with your users and customers. While traditional support desks offer a standard 9-5 support model, if your business has flexible business hours (and a substantial number of remote employees), you might need a more flexible support model. Make sure the partner offers support that covers your organization’s operating hours.

Recipe for Success

Considering how massive Dynamics implementations generally are – both in terms of the time required and the investments made – choosing the best partner becomes a requisite to implementation. If you’re looking to forge a strong and long lasting partnership with your Microsoft Dynamics partner, make sure you select one that possesses the right technical expertise, clearly understands your area of business, speaks the language of your users, and offers a customized support model – one that perfectly fits your organization and its operating hours. While it’s tricky to select the right implementation and support partner, make sure you do all your homework to ensure a successful Dynamics implementation – one that will give you the much desired (and deserved) ROI that you’re looking for.

How Can Distribution Organizations Achieve their Desired Business Outcomes with Dynamics 365 ?

$
0
0

For distribution companies to sustain competitive advantage, digital transformation is not only essential but vital for your future success. This digital shift reflects your opportunity to grow, adapt and evolve to meet the changing needs of your customers, and the new business opportunities of tomorrow, by thinking and operating like a digital business.

Previously we discussed How Dynamics 365 is making the next generation of distributors more successful, specifically highlighting the business impacts that businesses can expect from investing in Dynamics 365.

Prior to making any technology investments, the first key decision your organization will need to make is selecting a deployment partner. Choosing a partner with deep business and technical industry expertise is the key to a successful implementation.

In a previous article, Western Computer discussed the reasons so many organizations are utilizing less than 70% of their ERP solution.

Working with a deployment partner that has in-depth industry knowledge will ensure that you get the most value from your ERP investment, and that it is configured specifically to your industry business outcomes.

‘A marriage of our customer’s business knowledge and Western Computer’s product
and industry knowledge is what brings it together for a successful deployment,'
says Katherine Turner-Lawrence VP Sales & Marketing, Western Computer.

For example, ensuring your eCommerce platform delivers a great customer experience is vital for differentiation. Effective integration to the back office to deliver the right data to your customers is becoming increasingly important.

By 2020, customer experience will overtake price & product as the key brand differentiator*

Dynamics 365 Connects All Areas of Your Distribution Operations

Customers are more likely to reorder from you if their goods are delivered the next day but without the added costs of overnight shipping. By using the right mix of carriers and warehouse locations, you can get next-day deliveries to your customers by primarily using ground shipping.

Dynamics 365 is not the ‘old school’ ERP solution

‘New age’ distribution companies who are used to using cutting edge technology are, for the first time, considering Dynamics 365 to provide the right solutions for their organization. This is due to the modern interfaces for integration and the different set of technology implications in how ERP can be more integrated it into the rest of their business. Dynamics 365 matches the internal technology stack being used by these organizations and, as such, enables them to build and deliver solutions in this holistic environment.

This newer technology from Microsoft is not only built on their common data services mode, allowing data types to flow directly across other Microsoft software tools, but it also has the device interoperability capability that innovative organizations are expecting. Dynamics 365 can be rapidly deployed across multiple platforms (Apple, Android, Microsoft) making it easier for ‘Bring You Own Device’ organizations to leverage different operating systems across devices at home and at work. These deployment options were not previously possible in a ‘old school’ ERP word.

Gartner – End to end customer insights’ achievable with Dynamics 365 CRM.

$

Business owners who are not using  CRM software, or still relying on legacy programs to analyze their customer databases, may never see the value in software like Dynamics 365 CRM to discover opportunities to help increase revenues and profitability.

As such, decision-makers might be well-served to review the Forrester Research overview on the role of CRM:

“The business processes and supporting technologies that support the key activities of targeting, acquiring, retaining, understanding, and collaborating with customers.”

Moreover, CRM provides what Forrester refers to as an “inside-outside” approach to analyzing the “end-to-end” customer cycle. Furthermore,Gartner points to this process of data analytics as a critical step in achieving “actionable customer insights and opportunities.”

To this end, Microsoft Dynamics 365, launched last July, is designed to deliver such actionable data to automate workflows while bringing meaningful metrics to the forefront; this, to assist sales and marketing to better understand the overall operational efficiencies(or inefficiencies); costs associated with all phases of marketing; salespeople revenue; sales cycle timelines, to name a few possible outcomes.

And yet, Dynamics 365 is not a stand-alone software. AsFortune magazine notes, the platform  “...integrate(s) with Office 365 to connect the ‘structured workflow’ of business apps with the ‘unstructured workflow’ of collaboration and productivity.”

In the service sector, too, Dynamics 365 will allow asset monitoring and “anomaly detection” as part of its inherent design in the digital realm of the Internet of Things (IoT).

Contact us to learn more about the Dynamics product line, including Dynamics GP, Sl and Dynamics 365. Leverage our experience as a certified, Microsoft Gold Partner.

GL Account Tables & Account Framework

$
0
0

This will be a short post. A question came up today on the GPUG forums that reminded me to blog about this one. So, I thought I’d create a short article with some of the tidbits that you may find useful!

Account Framework

When Dynamics GP is installed, one of the few non-editable decisions (*) to make is deciding on the Account Framework. This step is done by whomever installs Dynamics GP, but is a critical decision that should occur after first conversations about Chart of Accounts design and general “what might happen in the future” type discussions take place, to correctly set up the framework for present and future possibilities.

Long story short: what is chosen here affects all company databases that will be added to the environment later on, as it is defining the maximum number of segments & total number of characters a GL account can have, and how many characters each segment itself has.

(*) by “non-editable”, I simply mean this is not something that is easy to change within Dynamics GP. There are some ISV tools to edit an Account Framework, but otherwise there are no out-of-the-box tools to edit this once system database is created.

GL Account Tables

The various GL account tables created when new companies are added, including Fabrikam, will have columns specific to that Account Framework. For example: if my setup looks like this (shown via the Account Format Setup window), where my “max” is 6 segments:

… then the GL tables in my environment will look like this, with columns up to ACTNUMBR_6 but nothing further. If the max is 8 segments, then columns for ACTNUMBR_7 and ACTNUMBR_8 will be in the tables as well, for instance. There is a maximum of 10 segments and 66 total characters allowed in the Account Framework.

A common misconception, particularly for end users who rarely see different Dynamics GP environments, is that *everyone’s* GL tables look the same, i.e. have the same number of columns as everyone else. It would be easier, theoretically, if Dynamics GP just automatically installed the max so all GL tables were the same, but that’s not how it works today!

Enabling the PO Email Document Without an Exchange Account.

Microsoft Dynamics GPI am very much an advocate for using the Microsoft Dynamics GP application for making changes to configuration or data rather than jumping straight to the SQL database. However, sometimes needs really must.

I was onsite with a client a few weeks ago to assist them in implementing Purchase Order Processing and, as part of this implementation, I needed to enable the emailing of the purchase order. Typically, I would do this through the Company E-mail Setup (Administration >> Setup >> Company >>
E-mail Setup
)) window, but the client is configured to use Exchange for emails and I don’t have an Exchange account on their system.

Due to my location compared to the users, it was quicker to create an SQL script to enable the email rather than trying to locate a user with the relevant permissions to screen share with:

UPDATE
	SY04903SET
	EmailDocumentEnabled = 1,EmailMessageID ='PO'WHERE
	EmailDictionaryID = 0AND
	EmailSeriesID = 4AND
	MODULE1 = 12AND
	EmailDocumentID = 1

The highlighted section is the name of the Message ID for the PO.

As always before running a script, ensure you test the script and have a good backup of your company database.

Tribes are Harnessing Power BI, BI 360 and Player 365 for Real-time Data

$

Business Intelligence is big buzzword in the technology space right now, but it is big for a reason. In nearly every industry, organizations are realizing more and more that they need the ability to see current information in meaningful ways to help make better decisions. Data needs to be immediate to be timely. Looking at financial statements from the prior month just won’t cut it in today’s environment.

Often, we hear things like “Things just aren’t done that way around here” or, “You only see that stuff in Vegas, not in Indian Country.” However, we are seeing this change.  CFOs, CIOs, department heads, and council members are demanding better data in real time.

Tribal enterprises need to access hotel occupancy rates and gaming revenue numbers from multiple properties last night, not two months ago. Tribal Governments need access to their for-profit entities while also monitoring their health center budget.  These numbers should be easily accessed with dashboards and reports that are easy to understand and up-to-date.

Business Application companies are at forefront of delivering real business intelligence to tribal entities through tools like Power BI from Microsoft, BI360 from Solver, and Player 365.  With technologies like these continually improving, it has never been easier to consolidate data across all government entities, deliver meaningful reports and dashboards with current data, and forecast for the short and long term.

Above is an example of a multi-casino organization with a BI360 Dashboard showing Revenue and labor costs per game across their different properties.  How useful would that be to executive leadership?

With people on the go so much, you need to be able to get the current data to make decisions wherever you are.  Power BI dashboards can be accessed from any device to make this a reality.

Dashboards aren’t just affective on the Tribal Enterprise side, Tribal Governments and member services departments can get great up to the minute views of how grant spending is going by program and see where the current grant pipeline is in dashboards like the BI360 example above.

How do you get started?  Contact a trusted tribal IT consulting firm to start the conversation on business intelligence.  The data is there; so are the tools to make that data relevant and timely.

Seven eCommerce Strategies to K.O. the Competition

$

0

Partner with us      Frequently Asked Questions

eCommerce has become an extremely convenient tool to help consumers find and purchase the products and services they want.  Per some estimates, there are about two million eCommerce sites. With eCommerce being such a competitive arena, it is essential to consider some well-tested strategies that will knock out your competition.

1.   Planning

As much as an eCommerce site launch requires adequate planning, the ongoing management of the web store also requires careful planning and management. A well-planned use of tools like Search Engine Optimization(SEO), Content Marketing, Social Media Marketing, and Paid Advertising can help beat the competition.

2.   Customer friendly

With no salespersons to guide customers, their buying decisions are based on their perception of the company and the people behind the store. A bug-free, customer friendly and a well-designed site capable of guiding the customer through their buying process and addressing their concerns leads to higher and value added sales.

3.   Mobile friendly

With the increased use of mobile devices, especially smartphones,  customers prefer to shop on the site while they are having coffee or waiting for a bus. Businesses that can capture the attention of these potential customers are way more successful than their competition.

4.   Social Media friendly

Social Media is a very valuable tool for communicating with customers and getting their feedback and suggestions. This two-way communication helps companies to understand customer's needs and helps them to improve their offerings. Managing social media requires constant monitoring and posting of new content.

5.   Social Elements

Customers love to read reviews. Their opinion about any site is affected by the social buzz. Giving customers the opportunity to share their opinion about the site, products, services, and offerings gives them an impression that you value their business and their opinion.

6.      Well Optimized

Search Engine Optimization (SEO) is important for the success of any site. SEO ensures that the customer finds the site in the jungle of millions of other websites trying to attract the same customer. SEO helps brings in the relevant traffic by targeting the right audience.

7.   Well managed and Integrated

Managing an eCommerce site without proper tools is a daunting task. A significant amount of time is required on a regular basis to download orders and update shipment status. Add the time required for updating content like prices, quantities, new products, images, product catalog,  and managing a Webstore becomes a full-time job.

Using tools like x2x eCommerce which integrate eCommerce with Dynamics GP ERP eliminates the need to manually maintain the contents, update item information, download orders and update shipment status.

x2x eCommerce

X2x eCommerce integrates your eCommerce site with your Dynamics GP ERP system. It is like putting the web business on auto pilot.  X2x eCommerce cuts a significant amount of time required to administer and update the eCommerce site. This leaves more time to concentrate on marketing and improving your customers' buying experience.
